How to redact a Word document
Most of the ways people "redact" in Word leave the original text inside the file. Here's what goes wrong, and how to remove names and numbers from a .docx properly while keeping it editable.
Open the redaction tool Free, no account. The file stays on your device.Quick steps
- Open maskyourdocs and choose the .docx file.
- Select the text to remove, or type a name into Find text and press Mask all.
- Press Export and choose what replaces the removed text.
- Press Generate, then Download the new .docx.
Why the usual Word tricks don't work
- Black highlighting or shading colours the background. The text is still there and can be copied.
- Black shapes over text float on top. The text stays in the file, and in any PDF you save from it.
- White or tiny text is invisible on screen but comes back when it's copied, searched or pasted elsewhere.
- Find and Replace with Track Changes on records every replacement as a deletion, and the original text stays in the file as a tracked change.
- Hidden places get forgotten: comments, headers and footers, footnotes, and the author's name in the document properties.
Step by step
Step 1: Open the .docx
Go to maskyourdocs, press Choose a file and pick the Word file. It opens as text, with any headers, footers, footnotes and endnotes shown as labelled sections, so text that only appears there can be marked too.
Three things are removed as soon as the file opens, and a message tells you which were found: tracked deletions, comments and document properties such as the author's name.
Step 2: Mark what to remove
Select text with your mouse or finger and it's marked straight away. Each marked span shows as the placeholder it will become. For a name or number that appears more than once, type it into Find text and press Mask all.
Step 3: Choose the placeholder
Press Export and choose what replaces each removed span:
- [REDACTED] for everything.
- [REDACTED_1], [REDACTED_2], numbered per distinct value. Useful in a contract, where the reader needs to tell the two parties apart.
- Solid blocks, which don't reveal how long the text was.
Step 4: Export and download
Press Generate. The tool reads every part of the new file, including headers, footnotes and properties, to confirm the removed text is gone. Press Download for the .docx, or Copy text to paste the redacted text somewhere. Only the text you marked changes; styles, numbering, images and layout are copied through untouched.
What it can't do in a Word file
- Pictures, charts and SmartArt are copied through unchanged and can't be masked. Save the document as a PDF and redact that instead, using Draw box.
- The older .doc format isn't supported. Open it in Word and use Save As to save it as .docx first.
- You see the document's text, not its page layout.
If you need a PDF at the end
There are two ways round, and both are safe:
- Redact the .docx first, then save it as a PDF in Word. The text is already gone, so nothing hides underneath, and the PDF stays searchable.
- Save as PDF first, then redact the PDF. Use this when pictures need covering. Redacted pages become images. See how to redact a PDF.
Also worth doing in Word
Word for Windows has a Document Inspector (File > Info > Check for Issues > Inspect Document) that lists comments, revisions, document properties and hidden text, and can remove them. It doesn't redact visible text, but it's a good final check before you share any Word file.
Questions
Does black highlighting redact text in Word?
No. It only colours the background. The text is still in the file and can be copied, searched or read by other apps.
Will redacting change my Word formatting?
No. Only the text you mark is replaced with a placeholder. Styles, numbering, images and layout are copied through unchanged.
Can I redact a .doc file?
Not directly. Open it in Word, use Save As to save it as .docx, then redact the .docx.
What happens to tracked changes and comments?
Tracked deletions and comments are removed as soon as the file opens, along with document properties such as the author's name. You're told which were found.
Can I redact a picture inside a Word document?
Not in the Word file itself. Save the document as a PDF, then draw a box over the picture in the PDF.
